Title: Office Assistant

Reports to: Office Manager

Schedule

  • Monday through Friday
  • 8:00 AM to 5:00 PM (or later if required to complete all daily activities)
  • Some evening and weekend work required

Overview
The primary function of the office assistant is to fill in for other staff members when they are out of the office and to help facilitate the smooth flow of daily operations.

Essential Functions

  • Fill in for the receptionists and medical assistants during lunch and when sick or on vacation
  • Help answer the main phone line and schedule patients as needed
  • Maintain private and VFC vaccination inventories
  • Maintain office and medical supply inventories
  • Verify patient insurance policies
  • Maintain the new patient, well check and frenotomy forms
  • Verify that all new patient and well check forms are scanned in and attached to charts
  • Create and send medical records for patients, schools or doctor’s offices as needed
  • Grade Conners Developmental Testing as needed
  • If Spanish speaking, translate for non-Spanish speaking providers and office staff as needed

Non-Essential Functions

  • Generate reports as required
  • Support the marketing and advertising efforts

Requirements

  • Excellent communication skills
  • Excellent computer skills
  • Excellent organizational skills
  • Ability to multitask
  • CPR certified (training provided as needed)

Required Education and Experience

  • Certified Medical Assistant
  • At least two years of experience in a medical environment

Preferred Skills and Abilities

  • Spanish-speaking
