Title: Receptionist Check Out

Reports to: Office Manager


  • Monday through Friday
  • 8:00 AM to 5:00 PM (or later if required to complete all daily activities)
  • On occasion, some evening and weekend work may be required

The primary function of the receptionist is to facilitate the smooth flow of patients into and out of the front office.

Essential Functions

  • Answer the main phone line
  • Check voicemails left after hours
  • Check patients out and schedule follow-up appointments
  • Create medical records for patients or doctors offices as needed
  • Collect patient payments and reconcile TOS money every day and do weekly reconciliation
  • Verify signatures on consents and scan into patient charts
  • Obtain insurance referrals as needed
  • Copy and prepare Frenotomy handouts
  • Update State Registry with vaccination information
  • Monitor assigned tasks on clinical inbox daily
  • Monitor incoming faxes for medical records etc. daily
  • Assist in updating new patient charts with vaccination information
  • Monitor and maintain office supplies
  • Send, receive and distribute office mail and shipments
  • Call Frenotomy and Circumcision patients daily after procedures and document
  • Maintain HIPPA and OSHA compliance at all times

Non-Essential Functions

  • Support the marketing and advertising efforts
  • Cross train on the basic tasks of the medical assistants (room patients, take vitals, complete a HPI and update the current medication list) and fill in as required

  • Ability to multitask
  • CPR certified (training provided as needed)

Required Education and Experience

  • No educational requirements
  • At least two years of experience as a receptionist in a medical environment

Preferred Skills and Abilities

  • Spanish-speaking
